Tracking Your Federal Refund: A Guide for Inland Empire Business Owners

For business owners here in the Inland Empire—whether you are hauling freight out of Ontario, closing real estate deals in Rancho Cucamonga, or running a busy medical practice in Upland—cash flow is everything. When you are expecting a federal tax refund, that capital often has a specific destination, like covering overhead or reinvesting in your fleet. That makes knowing exactly when those funds will hit your account crucial.

The IRS has largely moved away from paper checks to improve security and speed. Electronic transfers reduce the risk of mail theft—a valid concern for many of our clients in logistics and property management—and cut down on processing costs. While prepaid debit cards are an option for some, most of our business clients prefer direct deposit for its efficiency.

If you have already filed your return and are waiting on that liquidity, checking the status is straightforward. You do not need to waste hours on hold.

Using the "Where’s My Refund?" Tool

The primary resource for tracking your money is the interactive tool on the IRS website: Where’s My Refund?.

This system is available nearly 24/7, which is perfect for our trucking clients checking in during a late-night haul or doctors reviewing finances after the clinic closes. Whether you split the refund between accounts or sent it all to one, this tool provides the most current status.

Timing expectations:

  • E-filers: You can check your status 24 hours after the IRS acknowledges receipt. Nine out of 10 taxpayers using e-file with direct deposit typically see their refunds in fewer than 21 days.

  • Paper filers: Information is usually available four weeks after mailing. (We generally advise our San Bernardino and Riverside clients to e-file to avoid these delays).

What You Need to Check Your Status

To access your private data, you will need to have a copy of your federal tax return in front of you. The system requires:

  • Your Social Security Number (or ITIN),

  • The tax year you are checking (2025, 2024, or 2023),

  • Your filing status (e.g., Single, Married Filing Jointly, Head of Household), and

  • The exact refund amount listed on your return.

Once verified, you will see one of three statuses:

  1. Received: The IRS has your return and is processing it.

  2. Approved: They are preparing to issue the funds.

  3. Sent: The money is on its way to your bank or the check is in the mail. Note that it may take up to 5 days to appear in your bank account after this status updates.

Resolving Issues

The Where’s My Refund? tool is dynamic. If there is a snag in the process, it will often provide links to customized information to help resolve the issue. For instance, if 28 days have passed since the mailing date listed on the tool and you still have not received the funds, the system allows you to initiate a refund trace online.

For our visually impaired clients, the tool is compatible with JAWS (Job Access with Speech) screen readers and Braille displays.

Tracking on the Go

If you are constantly on the road—common for our logistics and real estate clients—you might prefer the IRS2Go smartphone app. It is free and offers the same tracking capabilities as the website. You can download it for Apple or Android by visiting IRS2Go.

When to Call

The online tools are updated once every 24 hours, usually overnight, so there is no benefit to checking more than once a day. More importantly, the tool provides the same data that IRS telephone representatives have. You generally do not need to call the IRS unless the tool specifically instructs you to.
